Sampling and project management
(12) Briefly describe your general process, from invitation to survey completion. What steps do you take to obtain a sample that “looks like” the target population? What demographic quota controls, if any, do you recommend?
Panelists/participants can be invited by direct email or through a link placed on a website or application. For direct email invitations, the content varies according to panel needs, confidentiality, closing date (if applicable), incentive terms and conditions, privacy policy or notice, and unsubscribe link.
The profile information that Painel TAP possesses or has access to allows our online panel to reach specific audiences, including hard-to-reach groups, especially the B2B audience. Sample buyers can select 'census representativeness' both in survey deployments and in received responses.
Our project managers ensure correct allocation to achieve the appropriate distribution based on census data for a specific geography, should the buyer indicate this need. A sample buyer can also choose to create custom allocations (including age, gender, etc.) in survey deployments and received responses. During the field, the client and Painel TAP have the ability to adjust quotas as needed.

This enables Painel TAP to provide detailed and uniform data on survey participants/panelists.
These “global profile questions” cover aspects related to automotive preferences, consumer goods, education, electronics, ethnicity, finance, food and beverages, gaming, health, hobbies, media preferences, mobile devices, shopping, and travel. Data is updated whenever participants/panel members modify their profile information, either proactively, through profile surveys or panel communications (such as newsletters, member communications, etc.) or when they respond to surveys that offer the opportunity to answer additional questions from the global profile question list. Additionally, Painel TAP collects and makes available hundreds of additional profile points based on buyer needs and/or market requirements. Speed and reliability to quickly start fieldwork and meet delivery deadlines are crucial. We prioritize suppliers with a proven track record of efficient and reliable deliveries and the management of similar panels, valuing panel creation and management policies that align with ours, ensuring consistency and compatibility in panel management and maintenance.
By carefully evaluating pre-authorized suppliers based on various criteria and actively involving the client in decisions, we maintain our commitment to providing reliable data and upholding the highest quality standards throughout the entire investigation process.
(16) Do you employ a survey router or any yield management techniques? If so, describe how you allocate participants to surveys. How are potential participants invited to participate in a study? Specify how this is done for each of the sources you offer.
The platform includes a yield management system that uses proprietary routing technology. The company's proprietary algorithms and advanced targeting systems identify the most suitable surveys for any specific panelist or participant during any survey session. They operate in an optimization function that seeks to maximize the likelihood of a respondent qualifying for and completing a study. This “best match” technology emphasizes the experience of survey participants and minimizes over-quotas, disqualifications, and other factors that result in the termination of specific surveys.
Once a survey is completed or terminated, the platform will identify the next best survey opportunity that considers quotas or other relevant factors that determine the amount of sample to be deployed. The platform ranks surveys based on the individual characteristics of the panelist/participant, rather than targeting one demographic or profile target audience over another.
(17) Do you set limits on how long a participant can remain in the router before qualifying for a survey?
Panelists/participants, on average, are routed five times before the session ends so that the participant does not have a bad experience.
(18) What information about a project is provided to potential participants before they decide whether or not to respond to the survey? How does this differ across the sources you offer?
This differs depending on the sample supply source. Panelists receive a personalized email invitation. The components of the email invitation include:
- the estimated interview length;
- access to full disclosure of incentive terms and conditions applicable to the project;
- an explanation if the invitation is sent on behalf of another research service provider;
- for panel members, the opportunity to unsubscribe or opt out of future surveys; and an appropriate privacy policy or statement.
- Panelists/participants may also be invited by other means, including offers on panel partner websites or applications.

A panelist/participant satisfaction measurement program has been implemented. Each individual who completes a questionnaire has the opportunity to provide feedback. They answer a series of questions about the survey duration, survey flow, and language used, and can provide feedback through an open-ended question. This information is available to clients (sample buyers).
This information is continuously reviewed, and feedback is shared with sample buyers so they can implement changes in their surveys. Ongoing 'research on research' is also conducted, addressing panelist/participant engagement, satisfaction, and fatigue, to identify potential solutions. This research is shared with sample provider partners and incorporated into the internal quality program.

Data quality and validation

The frequency of participation of all panelists is monitored, with each receiving a score based on responsiveness.
Detailed information exists for each panel member/participant regarding the surveys they have participated in. It is also possible to choose a desired 'quarantine period' (i.e., the time between survey invitations) to ensure that panel members do not receive too many survey offers. For other permission-based sources, clients make their own choices and, as a general principle, seek to maximize the lifetime value of their respondents.
Regardless of the sample source, operational policies allow for one invitation and one reminder for each survey opportunity. Typical lockout periods before an invitation to another survey opportunity are seven days, but this can vary based on the specific supply source and geography.
(25) What data do you maintain on individual participants, such as recent participation history, entry date(s), source/channel, etc.? Are you able to provide buyers with a project analysis of this individual-level data? Can you attach these data points to participant records?
We maintain detailed participation data that includes: join date; last participation date and transaction history across all surveys; redemptions; and reward point transactions. As Painel TAP complies with all applicable data protection laws and regulations, data containing personal information is never made available unless the panel member or participant provides consent and it is permitted by applicable local laws and regulations. (26) Describe your procedures for confirming participant identity at the project level. Describe these procedures as they are implemented at the entry point of a survey or router.
A variety of quality measures are applied to panelists/participants before they are offered surveys. This includes email validation, comparison against “blacklist databases,” browser fingerprinting, geolocation, and participant behavior. We use proprietary technology augmented by leading “off-the-shelf solutions.”
We are diligent and proactive regarding the detection of fraudulent and inattentive behavior, including speeding and straight-lining. The platform assigns each participant an internal quality score based on survey response quality and other user behavioral data. With this information, every effort is made to identify and minimize fraud whenever possible. When fraud is detected, the platform temporarily blocks accounts, bans, or blocks participants/panel members from all survey and reward redemption activities until an internal review can be completed by internal quality administrators. Advanced geo IP and proxy detection and device fingerprinting have also been implemented, which detect the user's actual location and the type of device used for a survey.

Robust exclusion rules are also allowed to ensure that a panelist/participant can only complete a specific survey once. Deduplication, reuse, and lockout period for quota full or terminated status are set for each project, based on sample buyer preference and quality practices. Default settings do not allow any re-entry once an official complete, screened-out, terminated, or any similar “final” status is achieved. Panelists/participants may re-enter if the individual does not have a “final” status (complete, screened-out, or terminated, or other similar “final” status).
For tracking surveys, deduplication, panel member/participant reuse, and lockout period for subsequent waves are set according to sample buyer specifications.

As noted above, we maintain detailed records of study participation. We automatically ensure that all panelists/participants are “quarantined” after participating in a survey, meaning they will not be offered another survey for a defined period of time. The standard quarantine period is seven (7) days, which varies according to panelist/participant preference, supply source provider, direction, and geography. The platform generates a “score” based on each individual's participation. This participation “score” history is recorded along with exclusion information. The platform also offers advanced quarantine features by subject category that are available to sample buyers upon request. Each panelist/participant is tracked through a quality index. If a particular panelist falls below a certain quality level, he/she will no longer be able to participate in any market research studies.
